Terms and Conditions

Terms and Conditions are important for any event. They help set clear expectations for both organisers and attendees, making sure everyone has a smooth experience.

Why good event terms and conditions matter

Clarity - they outline the rules for attendees, helping to avoid misunderstandings.

Legal protection - good terms can protect your organisation from liability and clarify responsibilities.

Setting expectations - they inform attendees about your policies on refunds, cancellations, and specific event rules.

Credibility - well-stated terms can enhance your organisation’s professionalism and make attendees feel secure about their purchase.

What to include in your Terms and Conditions

When creating terms and conditions for your events, consider adding these key elements - not all will be relevant for every event but it might provide a useful checklist:

Cancellation policy - clearly detail the steps for canceling an event and any fees that may apply. Keep in mind that Ticketize and Stripe will not refund Platform and Transaction Fees if an event is cancelled. It’s also important to state in your Terms and Conditions whether your organisation will refund ticket costs to buyers in the event of a cancellation.

Refund policy - explain when and if refunds are available and how attendees can request them. It’s helpful to detail your policy regarding refunds if a ticket buyer cancels their tickets, as well as your refund process if your organisation cancels a ticket or the event itself.

Age restrictions - note any age limits for attendees, including whether children need to be accompanied by an adult.

Event changes - any changes to the event should be communicated directly to ticket buyers via email. Ticketize will only send the tickets and will not contact ticket buyers about changes.

Personal data use - let attendees know how their information will be used. As the Data Controller under the Data Protection Act your organisation has specific responsibilities. See the Information Commissioner’s Office for further information.

Photography and recording - state whether photos or videos will be taken during the event.

Liability disclaimer - make it clear that attendees participate at their own risk. By attending the event, they acknowledge and accept any potential risks. Your organisation will not be responsible for any injuries, damages, or losses that may occur during the event.

Code of conduct - establish clear guidelines for expected behaviour during the event. This includes treating others with respect, following event rules, and refraining from disruptive actions. This helps create a positive and enjoyable experience for all attendees.

By having clear terms and conditions, you protect your organisation and enhance the experience for attendees.
